Pricing guide

Zoho One pricing, explained for small teams

Zoho One costs $37 per employee per month if you license every employee and pay yearly, or $67 per user per month, marked down from $90, if you license only the people who use it. Paying month to month, it is $45 or $105. Taxes are extra.1

The short answer

If you license everyone
$37 per employee a month, billed yearly: $185 a month for 5 people, $370 for 10 and $740 for 20.1
The catch
That price only applies if you license everyone on payroll. If fewer than 55% of your employees will use it, the Flexible User plan at $67 per user is cheaper.
On top of that
Faster support is 20% to 25% more, Zoho does not set it up for you, and every app has its own usage limits.3,5
No discounts
No non-profit or education pricing, no minimum number of users, and no long-term contract.2

The prices

The two plans and four prices

Zoho One is sold on two plans, and each can be paid yearly or monthly. Same apps on both plans; what changes is who you have to pay for. Prices are in US dollars per person per month, from Zoho’s US pricing page and pricing FAQ on .1,2

  • All Employee

    Billed yearly
    $37 per employee
    Billed monthly
    $45 per employee

You license: Every employee on your payroll, whether or not they use it.

  • Flexible User

    Billed yearly
    $67 per user (shown against a crossed-out $90)
    Billed monthly
    $105 per user

You license: Only the people you choose. No minimum number of users.

About the $67

On yearly billing, the pricing page shows the Flexible User plan at $67 with $90 crossed out, and the pricing FAQ lists both numbers. Neither says how long $67 lasts or what you pay at renewal, so budget for $90 as well. Older articles and some AI answers still quote $90 as the only price.1,2

If you see an “Essentials” plan

Zoho’s pages also describe a smaller Essentials edition with fewer apps, for some countries. The US pricing page we read offers only the two plans above, so check the price shown for your country before you count on it.1,2

The catch

The all-employee rule, in plain words

The $37 price comes with a promise: you buy a Zoho One license for every employee on your payroll, including people who will never open it. Zoho says that if it finds employees without a license it will ask you to buy the rest or move to Flexible User pricing, and its license agreement lets it go further, up to ending the service.1,2

Zoho’s own FAQ explains the trade: you are trusting Zoho with the whole company, so it charges less per person than its CRM Plus bundle, which you can buy for a few people at $57 per user on its Enterprise plan.2,11 For a franchise, or one division of a larger company, Zoho points you to Flexible User pricing. For staff who never use a computer or a phone, it asks you to talk to sales.2

The quick test: divide the number of people who need the software by the number of employees on payroll. On yearly billing at today’s prices, under 55% means Flexible User is cheaper, and over 55% means All Employee is.

Share of your employees who use Zoho One

  • Billed yearly, Flexible at $67switches at 55% ($37 ÷ $67)
  • Billed yearly, if Flexible goes back to $90switches at 41% ($37 ÷ $90)
  • Billed monthlyswitches at 43% ($45 ÷ $105)
Left of the switch point, Flexible User is cheaper; right of it, All Employee is. All Employee charges for every employee; Flexible User charges only for the people who use it. Divide the All Employee price by the Flexible User price to find the share of your team where they cost the same.

When only part of your team needs it

Bundle or not

Zoho One or the Zoho apps you need, one by one

Zoho One saves money when most people use several apps. When each app is only used by a few people, buying those apps on their own can cost less than half as much. Here is a 10-person agency where three people sell, everyone works on projects and two people answer support, priced app by app on yearly billing.

When the bundle wins

Put the same ten people on Zoho CRM Professional ($23) and Zoho Desk Standard ($14) as well, and the separate apps come to $455 a month, so Zoho One is $85 a month cheaper and includes more than 45 other apps.6,8 The more apps each person really uses, the better the bundle looks.

The middle option

If you only need sales, marketing and support for a few people, Zoho’s CRM Plus bundle is sold per user, starting at $20 on its Starter plan and $57 on Enterprise, billed yearly, with no all-employee rule.11

What’s included in Zoho One

More than 50 apps, grouped the way Zoho’s plan details page groups them, with updates to those apps included. A few, such as Payroll, RPA and Log360 Cloud, are not offered in every country; in the US, Payroll is the single-state plan.4,5

Limits that come with it

Zoho One gives each app its own usage limits. The ones small teams run into first:5

  • Zoho CRM: 1 GB of storage per organization plus 1 GB per employee.
  • Zoho Campaigns: up to 5,000 contacts per employee.
  • Zoho Flow: 50 flows per organization, and 3,000 tasks a month per organization plus 1,000 per employee.
  • Zoho Analytics: 5 million rows per organization and 100,000 per employee.
  • Zoho Forms: 200,000 submissions a month and 20 GB of storage.
  • Zoho Payroll: as many people as you have Zoho One licenses. Ten licenses means up to ten people in Payroll.

Each limit is set per organization, per employee or both, so check the ones for the apps you will use most.

Extras

What costs extra, or isn’t in Zoho One at all

  • Some Zoho products

Zoho lists Workerly, Catalyst, Classes, Zoho ERP, RouteIQ, CPaaS, FSM (field service), Shifts and CommunitySpaces as outside Zoho One, along with its ManageEngine, Site24x7, Qntrl and TrainerCentral brands.5

  • Top editions and agency editions

Zoho One gives you the CRM’s Enterprise-level features, not CRM Ultimate, which is an add-on. Recruit’s Staffing Agency edition is an add-on, and agency editions of apps such as Social are left out.5

  • Faster support

Classic support is free: chat and phone 8 hours a day on weekdays, with an 8-hour maximum response time. Premium adds 20% of your license fee for 24-hour weekday cover and a 3-hour response. Enterprise adds 25%, needs at least 75 users and a yearly plan, and answers within an hour, every day.3

  • Setup help

Zoho does not offer implementation services; it points you to its partners. The license price is the same whether you buy from Zoho or from a partner, but the partner’s setup work is billed separately.2,5

  • Paid Marketplace extensions and domains

Paid extensions from the Zoho Marketplace cost extra and do not appear on the Zoho One invoice. Domain registration is not included.2,5

  • Local taxes

VAT, GST and other local taxes are added on top of the prices on this page.1

Before you sign up

  1. Count everyone on payroll, not just the people who will log in. If some of them never use a computer or a phone, Zoho’s FAQ says to ask its sales team how to license them before you choose All Employee.2
  2. Count who actually needs the software. On yearly billing, if that is fewer than 55% of your employees, Flexible User is cheaper.
  3. Pick the three to five apps you will set up first. Zoho itself says deploying 40 apps at once can be overwhelming and recommends rolling Zoho One out in phases.5
  4. Check the usage limits above for the apps you will lean on hardest: CRM storage, email contacts, automations.
  5. Decide whether Classic support’s 8-hour response is enough, or price Premium in at 20% more.3
  6. If you want help setting it up, get a written quote from a Zoho partner, because Zoho does not do implementation itself.5
  7. Budget for the Flexible User price at $90 as well as $67. The pricing page shows $67 against a crossed-out $90 and does not say how long the lower price lasts.1

Questions

How much does Zoho One cost per month?

On October 7, 2026, Zoho’s US pricing page listed Zoho One at $37 per employee per month on the All Employee plan billed yearly, or $45 billed monthly, and $67 per user per month on the Flexible User plan billed yearly (shown against a crossed-out $90), or $105 billed monthly. Local taxes are extra. A 10-person team that licenses everyone pays $370 a month on yearly billing, or $4,440 a year.

Do I have to buy Zoho One for every employee?

Only on the All Employee plan. Zoho says it requires a license for every employee in your company, and that if it sees employees who are not licensed it will ask you to buy the rest or switch plans, and reserves the right to end the service. The Flexible User plan lets you license any number of people, and Zoho points franchises and single divisions of a company to it.

Is there a minimum number of users?

No. Zoho says neither plan has a minimum, and a one-person business can buy the All Employee plan.

What is included in Zoho One?

More than 50 apps: sales (CRM, Bigin, Sites, Bookings), marketing (Campaigns, SalesIQ, Social, Forms and more), support (Desk), productivity (Mail, Cliq, Projects, WorkDrive, Sign, Meeting and more), finance (Books, Invoice, Expense, Inventory, Payroll, Commerce), HR (People, Recruit), Contracts, and business tools such as Creator, Analytics and Flow. Each app has usage limits, such as 1 GB of CRM storage per organization plus 1 GB per employee.

Does Zoho One include payroll?

In the US it includes the single-state plan of Zoho Payroll. Payroll covers as many people as you have Zoho One licenses, so on the Flexible User plan you need a license for each person you pay through it.

Is Zoho One cheaper than buying Zoho apps separately?

When most of your team uses several apps, usually yes. When each app is used by only a few people, usually not. A 10-person team with three sellers on Zoho CRM Standard, everyone on Zoho Projects Premium, two people on Zoho Desk Standard, Zoho Books Standard and Zoho Workplace Standard for all ten pays about $155 a month on yearly billing, against $370 for Zoho One All Employee. Put all ten people on CRM Professional and Desk Standard as well and the separate apps cost $455, so Zoho One wins.

Does Zoho give discounts on Zoho One?

Zoho’s pricing FAQ says it does not offer discounts or special non-profit or education pricing for Zoho One. The price is the same whether you buy directly or through a partner.

Can I cancel or change the number of licenses?

Zoho says there are no long-term contracts: the best price is on a yearly subscription, monthly is available, and you can add or remove licenses before your term is up and ask the payments team about a refund.

What are the disadvantages of Zoho One?

The ones to check before you buy: the All Employee plan charges for people who never use the software; each app has its own usage limits; Classic support answers within 8 hours on weekdays and faster support costs 20% to 25% more; Zoho does not set it up for you, so many teams pay a partner; paid Marketplace extensions are extra; and with more than 50 apps there is a lot to configure, which is why Zoho recommends rolling it out in phases.

Is Zoho a Chinese or Indian company?

Zoho is an Indian company. It is privately held, describes its products as made in India, and says it has more than 19,000 employees and 150 million users. Its contact page lists its India office near Chennai and US offices in Austin, McAllen and New Braunfels, Texas, and Pleasanton, California. Zoho says your data is stored in Zoho-owned data centers in the United States, Europe or Asia, depending on where you are.

Who is Zoho’s biggest competitor?

It depends on which part of Zoho you compare. Against Zoho One, the closest alternatives are other suites that sell many business apps under one subscription, such as Odoo and Bitrix24, and smaller all-in-one workspaces such as Opusite. Against Zoho CRM on its own, the big names are Salesforce and HubSpot. Our guide to CRMs with project management compares prices for several of them.

These answers come from Zoho’s pricing FAQ, support plans and product FAQ, and from its About and Contact pages.2,3,5,12,13
